Once you have the setup complete for snow, you will want to add On Demand Jobs to your Clients that will receive snow service.
To add an On Demand Job, navigate to the Client account in V2 (On Demand Jobs are not yet available in the new version of SA). Select Add a Job, then Add an On Demand Job. We will look at each section on the On Demand Job overlay in detail.
Job Info Section
- Service - Select the Service that will be performed.
- Assign to - Select the Resource or Team that will be assigned to the Job.
Warning: It's important to be aware of what you are entering in this field as it will affect your searches and filtering later in the snow process. If you'll be routing based on the Resource assigned, then you must make an assignment selection here.
- # Inch-Trigger - Enter the required inches of snow to fall in a storm for this Job to be performed. This will be used as a filter when adding Jobs to the Snow Dispatch Board.
- Days Authorized - Deselect days that you would not go to this property. A common example is if this is a commercial location that does not want snow plowing when their location is closed.
Invoice Setup Section
Under Invoice Type, the selection you make determines the options available.
Invoice Type - Contract
Select this option if you will not bill the Client based on each individual weather event, but instead a predetermined Contracted amount.
- Contract - Select the Contract to associate the Job to. The Contract must already be added to the Client account.
- Cap Type - Select an option to determine if a cap will be applied to the Contract.
- No Cap - The Client will be billed based on the Contract amount regardless of the number of weather events, snow that falls, or pushes performed.
- Number Inches - This Client will be billed for the Contracted amount plus the Rate Matrix amount once the specified inches of snowfall has been accumulated.
- Cap - Set the number of inches of snowfall cap. Once this amount of snow has fallen, the Client will be additionally charged based on the Rate Matrix amount.
- Cap Reset Period - Select how often the cap will reset. Monthly will reset the cap every calendar month, whereas Contract Year will base the cap on the dates specified in the Contract.
- Overage Invoice Desc - The text description that will appear on the Invoice for the Client when an overage is charged.
- Number of Pushes - This Client will be billed for the Contracted amount plus the Rate Matrix amount once the specified number of pushes have been performed.
- Cap - Set the number of pushes for the cap. Once this amount of pushes has been completed, the Client will additionally be charged based on the Rate Matrix amount.
- Cap Reset Period - Select how often the cap will reset. Monthly will reset the cap every calendar month whereas Contract Year will base the cap on the dates specified in the Contract.
- Overage Invoice Desc - This is the text description that will appear on the Invoice for the Client when an overage is charged.
- Event - This Client will be charged for the Contracted amount plus the Rate Matrix amount once the specified number of Events have occurred. Events are best defined as each snowstorm.
- Cap - Set the number of Events for the cap. Once this amount of Events has been completed, the Client will additionally be charged based on the Rate Matrix amount.
- Cap Reset Period - Select how often the cap will reset. Monthly will reset the cap every calendar month, whereas Contract Year will base the cap on the dates specified in the Contract.
- Overage Invoice Desc - The text description that will appear on the Invoice for the Client when an overage is charged.
Invoice Type - Per Push, Per Inch
Select this option if you want to bill the Client every time you visit their property. Each time you visit is referred to as a "push". This is tracked on the mobile app. Once at a property, the mobile user will start the Job and then once done, end the Job. If they have to go back out to the property, they will start the Job again, which will create a second line item on the Snow Dispatch Board. Each line item will be billed as a separate push. The amount billed per push will be determined based on the Rate Matrix amount.
Invoice Type - Per Event, Per Inch
Select this option if you want to bill the Client once for each Event, regardless of whether you go to their property multiple times or not. The amount billed per Event will be based on the Rate Matrix amount.
Hourly
Select this option if you want to bill the Client based on the number of hours spent at their property. The amount billed will be determined based on the Rate Matrix amount.
Rate Matrix Section
Here, you will specify the amount billed to the Client based on the Invoice Type selection.
If you'll bill differently based on the equipment used a the property, select the first Asset type in the drop-down. Otherwise, leave the Asset type as General.
If you are billing Hourly instead of Flat Rate, change the drop-down on the right to Hourly if needed.
Enter the range of inches that apply to the first amount charged to the Client. If you charge the same amount regardless of the amount of snow, it is recommended to enter 0 to 9999 here.
If you need additional ranges, click the Add Range button and enter your information until all possible snowfall amounts are covered.
If you are billing differently based on Asset, select Add Group or Copy Group to select a different Asset and change the ranges as needed.
In the below example of a finished Rate Matrix for this Client, you can see he will be charged $60 for up to 6 inches of snowfall. If it snows over 6 inches, he will be charged $70.
